Hire terms

These are the terms that apply when you book a Camp Cosy sleepover. Ticking the box at checkout means you've agreed to them on behalf of everyone attending.
1. Who these terms are between
These terms are the agreement between you (the person making the booking) and Sophia King trading as Camp Cosy (ABN 16 783 863 217), of The Gap, QLD 4061.
Camp Cosy is a registered business name, not a company. Your booking is an agreement with that person directly.
You need to be 18 or over to make a booking, and you need to be the homeowner or occupier of the address we're setting up at — or have their permission.
By ticking the box at checkout you're agreeing to these terms on behalf of everyone attending.
2. What you’re hiring
Our packages are overnight hire of a styled camp setup in your home:

Every package includes handmade A-frame teepees, mattresses and freshly laundered bedding, fairy lights, a wooden name tag per camper, bed trays and cushions, plus delivery, styling and next-day pack-down.
- Extra teepees are $50 each, up to a maximum of 12 in one home.
- Extra add-ons beyond your package's allowance are $50 each. Chairs ($5 each) and the large table ($25) are priced separately and don't use your allowance.
- All prices are in Australian dollars. We're not registered for GST, so no GST is added and none is included in the prices above — the price you see is the price you pay.
Everything remains the property of Camp Cosy at all times. You're hiring it, not buying it.
3. Ages
Our teepees and bedding are made for ages 5 to 11. Both ends are limits, not suggestions:
- Under 5— a floor mattress with loose bedding isn't a safe sleep setup for a younger child, so please don't put one in a teepee.
- Over 11— teens and adults are heavy enough to damage the frames, so we can't hire to them.
4. Booking and payment
- Bookings need at least 3 days' notice, and can be made up to 90 days ahead.
- You pay in full when you book. There's no deposit and nothing to chase later.
- Payments are processed by Stripe. We never see or store your card number.
Your date isn't held until payment has gone through and you've had a confirmation from us. If a payment fails, the booking isn't confirmed and the date stays available to others.
Some bookings are marked "limited" or need a delivery check. In those cases we confirm within 24 hours before taking any payment — and if we can't do it, nothing is charged.
5. Where we travel
We set up within 15km of The Gap 4061, measured by road:

Beyond 15km we can't reach you. Your travel fee is always shown in the booking summary before you pay.
6. Setting up and packing down
We arrive on the day of your sleepover to build and style everything, and return the next morning to collect it. Both visits are included in the package price.
Once you've booked we'll give you a call in the week before your date to agree the details. As a rule we set up between 9am and 2pm and pack down the following day between 9am and 12pm. We'll be as flexible as we can — but if we have another booking the day after yours, we'll need to collect by 10am.
What we need from you
- Space. Each teepee needs roughly 1.2m × 1.8m of floor. A standard lounge or rumpus room comfortably fits three or four.
- A cleared room. Please move furniture and clear the floor before we arrive. We're not able to move your furniture for you — it gets tricky where liability is concerned, so the room needs to be clear when we get there.
- An adult at home for both setup and collection.
- Access and parking — somewhere to park nearby and a clear path in. Tell us in advance about stairs, steep driveways or narrow entries.
- Power near the setup for the fairy lights, and for any machines you've added.
- A clean, dry, indoor space. For covered-patio setups, the area needs to be properly sheltered.
If we arrive and the space isn't ready, isn't safe, or isn't big enough for what you've booked, we'll do our best to make it work. If we genuinely can't, we reserve the right to cancel the booking, and no refund is due— by that point the van is loaded, the stock is committed and the date is gone. That's why the list above matters: it's all we need in place before we arrive, and none of it is a surprise on the day.
7. Supervision and safety
A responsible adult must be present and supervising for the whole hire. Camp Cosy sets up the equipment and leaves; we are not present overnight and we don't supervise children.
You agree to:
- keep the setup indoors and assembled as we left it — please don't move, alter or re-build the teepees;
- keep candles, heaters and open flame away from the fabric, and not drape or cover the fairy lights;
- keep the walkways clear;
- make sure children know the setup isn't for climbing or rough play.
8. Damage, loss and cleaning
We don't take a bond and we don't add a damage fee to every booking. Kids are kids, the gear is made to be used, and we'd rather not charge nine families for something one unlucky night might cost. If something does get damaged beyond normal use, we'll ask you to cover repairing or replacing it — nothing more.
What we don't charge for
Camping gear looks camped-in, and that's fine. None of this costs you anything:
- Marks, spills and stains that come out in a normal wash. Everything is professionally laundered between bookings anyway.
- Scuffs, creases and the general softening of fabric and frames over time.
- Anything that fails because it was worn out or faulty rather than mistreated.
We don't itemise the little things. If it comes out in the wash or wipes off, you'll never hear from us about it.
What we do charge for
Damage beyond normal use, and anything that doesn't come back:
- Something permanently ruined— nail polish, slime, permanent marker or paint that survives professional cleaning, burns, or a tear that can't be mended.
- Something broken — a snapped frame, a split mattress, a smashed light.
- Something missing at pack-down.
Where we can repair it, we charge what the repair costs. Where we can't, we charge to replace it. We won't charge you to replace something that could be mended, and we won't charge new-for-old on gear that was already well used.
What things cost
So there's no argument about what a teepee is worth:

Prices are per item, and they're what it costs us to replace the thing — not a penalty on top. Where something can be mended we charge the repair instead, which is usually far less.
How it works
If something's damaged or missing, we'll tell you within 24 hours of collection, with photographs, and invoice you for the amount above. Payment is due within 7 days. If we haven't raised it in that first day, we won't come back to you about it later.
If you think we've got it wrong, say so — we'd far rather sort it out over the phone than fall out with a family over a mattress.
Looking after the setup
A few things that keep the gear in one piece, and none of them are surprising:
- Please keep pets off the setup.
- No smoking or vaping in the room.
- Keep candles, heaters and open flame well away from the fabric.
- The teepees aren't for climbing on or swinging from.
9. Food add-ons
The popcorn, slushy and candy floss machines come with consumables supplied by us.
What's in them
We keep these simple. What we're carrying changes with what's in stock, so take this as the general picture rather than a promise about a particular batch:
- Popcorn — corn kernels popped in oil, with salt or a flavoured topping. Butter and caramel toppings contain milk.
- Slushy — strawberry or blueberry syrup: sugar, water, flavouring, colouring and preservative. Syrups of this kind commonly contain added sulphites.
- Candy floss — sugar, with flavouring and colouring.
None of it deliberately contains nuts, egg, gluten or soy. But these are commercially manufactured products and we can't tell you anything about the factories they came from, so we can't promise any of it is free from traces.
If anyone has an allergy, tell us before the day
We keep the original packaging for everything we bring. When we call you in the week before your date we'll go through the exact ingredients on the batch we're bringing — ask us then and we'll read you the label. Please don't leave it until the night: by then the packaging is all we can offer you.
Checking with your guests' parents is your responsibility, not ours. We have no way of knowing who's coming or what they react to. If a child at your sleepover has a serious allergy, the safest thing is not to have the machines at all — tell us before your date and we'll swap the add-on for another one at no cost.
Using the machines
The machines run on mains power and get hot. An adult needs to operate them. They need a firm surface away from the teepees and out of reach of the children, and they shouldn't be left running unattended.
The Craft pack add-ons are still being finalised. We'll confirm exactly what's included before your date.
10. Changing or cancelling your booking
Cancelling
What you get back depends on how much notice you give us, counted back from the start of your hire date:

Refunds go back to the card you paid with. We send them within 5 days; how quickly it then appears on your statement is up to your bank, and can take a few days more.
We know the last row is firm. We're a small family business: once we've held a night for you we've turned other families away for it, and inside a week there isn't time to fill it again. The earlier you tell us, the more we can do.
Moving your date instead
Any time up to 7 days before your night, you can move your booking once instead of taking a refund. Moving is free, but it uses up your refund — the full amount you've paid carries over to the new date, and there's nothing left to claim back if you later cancel.
In the 7-to-14 day window that's the trade worth thinking about: 50% back now, or the whole amount against another night. Inside 7 days neither is available.
- The move is once per booking.
- New dates are subject to availability and must fall within our normal 90-day booking window.
- If the new date costs more — extra teepees, a different travel band — you pay the difference. If it costs less, we refund the difference.
- Once you've moved, cancelling the new booking is treated as a cancellation under the table above, measured against the new date.
Not sure of your new date yet?
If you get in touch more than 7 days before your night wanting to move, but you don't know which date you want yet, we can turn your booking into a credit instead:
- The credit is for the full amount you've paid.
- It lasts 6 months from the day we issue it.
- We'll give you a code to use on the website, which books your next night without paying again.
- If your new booking costs more, you pay the difference. If it costs less, the remainder isn't refunded — so it's worth using the full value.
- The code works once and can't be transferred to someone else.
- Using a credit uses up that booking's free date move.
- A booking paid for with a credit can't be refunded. If you cancel it, the credit is gone. Please be sure of the date before you use it.
Credits are arranged over the phone — give us a call and we'll set it up.
No-shows and access
If nobody is home when we arrive to set up, or we can't get access to the property, we'll wait 30 minutesand try to reach you. If we still can't set up, it's treated as a cancellation with less than 7 days' notice — no refund — because the van is loaded, the stock is committed and the date is gone.
If we have to cancel
If we cancel — illness, an accident, damaged stock, anything on our side — we'll give you as much notice as we can and refund everything you've paid in full.
11. Photos
We'd love to photograph the setups we build. If we do, the photos are of the setup, not your guests— we won't photograph children without asking you first, and we'll never publish a photo of a child without your written permission.
If you'd rather we didn't take photos at all, just tell us. It won't affect your booking.
12. Liability
Nothing in these terms excludes the consumer guarantees you have under the Australian Consumer Law. If we fail to meet one of those guarantees, you're entitled to the remedies the law provides, and no wording here changes that.
Subject to that:
- You're responsible for supervising everyone using the setup.
- We're not liable for damage to your home caused by ordinary, careful setup and collection, but we'll of course put right anything we damage through carelessness.
- We're not liable for indirect or consequential loss.
13. Privacy
We handle your personal information as described in our Privacy Policy.
14. General
- These terms are governed by the laws of Queensland, Australia.
- If any part of these terms turns out to be unenforceable, the rest still applies.
- We may update these terms. The version you agreed to at checkout is the one that applies to your booking.
